Who is responsible
James Miles trading as Miles Web Systems is responsible for the personal information described here. To ask a privacy question or exercise your rights, use our contact form and mark your message “Privacy request”.
What we collect and why
When you request a website review or contact us, we use the name, business details, contact details, website address and message you provide to assess your request and respond. Please do not include sensitive personal information or passwords. Required form fields help us identify and answer your enquiry; you choose whether to provide optional information.
We use information to take steps at your request before a possible contract, or to perform an agreed contract. For ordinary business correspondence, security and record keeping, we rely on our legitimate interests in running the business and responding to enquiries. Legal obligations may require certain financial records to be retained.
How information is handled
The website and enquiry system use HighLevel/LeadConnector to host pages, collect enquiries and organise contacts, opportunities and review tasks. Page, font, image and security providers receive technical request information such as your IP address when content loads. The platform also loads a Cloudflare Insights performance beacon. Authorised service providers may process information on our behalf. We do not sell your personal information.
Providers may process information outside the UK. Where a restricted international transfer is involved, an appropriate transfer mechanism is required. You can ask us for details of the safeguards applicable to your information.
How long information is kept
General enquiries that do not become client work are reviewed for deletion after 12 months from the last meaningful contact. Quotes and proposals may be retained for up to 2 years. Client, contract and financial records may be retained for up to 6 years after the relationship or relevant accounting period ends, where needed for obligations or claims. Information may be kept longer when a specific legal requirement or unresolved dispute requires it.
Marketing and automated decisions
Submitting an enquiry does not subscribe you to marketing. We may contact you about your request. Administrative automation can create a contact record, opportunity or review task; it does not make decisions with legal or similarly significant effects about you.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or transfer of your information. If we rely on consent, you can withdraw it without affecting earlier lawful processing.
You can object to processing based on legitimate interests, including direct marketing. Use the contact route above. We may need to confirm your identity before responding.
You can complain to the UK Information Commissioner’s Office at ico.org.uk. You can also raise a concern with us first.
